Submission Guidelines
Submission Guidelines
Submit with confidence
Follow these guidelines to protect your cards in transit and help us process your submission smoothly. When in doubt, contact us before you post.
Before you submit
A little preparation goes a long way. Please check the following before you place your order and post your cards:
- ✦ Choose the right service tier in our Submissions collection
- ✦ Complete checkout accurately — card names, quantities, and any requested photos or notes
- ✦ Read our Submission Agreement — by submitting, you agree to its terms
- ✦ Ensure cards are clean, dry, and free of loose debris (no food residue, sticky marks, or loose sleeves inside holders)
- ✦ Keep your order confirmation email — it contains your reference for tracking and support
- ✦ Check Shipping & Turnaround for estimated processing times by tier
Placing your order
Select the submission product that matches your card count and service level, then complete checkout. During checkout you may be asked to provide details for each card — such as card name, notes, and front/back images — so we can match your physical submission to your order.
Accuracy matters. The information you provide at checkout should match what you send. If anything changes before you post, contact us with your order reference so we can update our records.
Packaging recommendations
Your cards travel best when they cannot shift, bend, or rub against each other. We recommend:
- ✦ Penny sleeve each card, then a rigid holder (top loader or card saver)
- ✦ Secure holders with painter's tape across the top opening — not over the card surface
- ✦ Wrap grouped cards in bubble wrap or place in a team bag
- ✦ Use a sturdy cardboard box or rigid mailer — not a plain envelope
- ✦ Fill empty space with packing material so contents cannot move
- ✦ Use tracked and insured postage when sending valuable cards
Please avoid
- ✕ Loose cards rattling inside a box without protection
- ✕ Tape applied directly to card surfaces or sleeves you want preserved
- ✕ Overstuffed parcels that press cards together under weight
- ✕ Sending cards in packaging that is damaged, damp, or heavily worn
What to include in your package
- ✦ All cards listed on your order, in the quantities purchased
- ✦ A printed or handwritten note with your order number and contact email
- ✦ A packing list if submitting multiple cards (card name + set/number where known)
- ✦ Your return address clearly written on the outer packaging
Do not send cash, unrelated items, or personal documents. Only send what you intend to have graded.
Accepted items
HAGS grades trading cards from recognised collectible categories, including:
- ✦ Pokémon and other TCG (e.g. Magic: The Gathering, Yu-Gi-Oh!, One Piece)
- ✦ Sports trading cards (where listed on submission products)
- ✦ Standard-size trading cards in suitable condition for encapsulation
Check the product description on your chosen submission tier for any category-specific limits. Unsure if a card qualifies? Ask us first.
Non-accepted items
We may decline or return items that fall outside our service, including:
- ✕ Items not listed on your order or not covered by your submission product
- ✕ Non-card collectibles (figures, coins, comics, etc.) unless explicitly offered
- ✕ Cards that are counterfeit or knowingly altered (trimmed, recoloured, rebacked)
- ✕ Cards too damaged to handle safely or encapsulate without risk
- ✕ Oversized or non-standard formats not supported by our holders
Outcomes for ineligible items are set out in our Submission Agreement.
When your package arrives
We log every submission on arrival, inspect and document what we received, and match it to your order. If anything does not match your checkout details or these guidelines, we will contact you before grading proceeds.
See How Grading Works for the full seven-step process from intake to return.
Important notes
- ✦ You are responsible for inbound postage and packaging. We recommend tracked, insured delivery for valuable submissions.
- ✦ Turnaround times begin when your package is received and logged — not when you place your order.
- ✦ Grading fees are for the assessment and encapsulation service. Review our policies before submitting high-value or irreplaceable items.
- ✦ Need a reasonable adjustment to complete checkout or post cards? Contact us — we're here to help.
